Retrieving Data
To retrieve your Annual Report records, click Retrievals (located in the menu bar at the left of the screen). You will then see the ANNUAL REPORT RETRIEVALS screen.

If you want to retrieve your relevant records in the Advisor Academic Annual Evaluation format, click the Annual Evaluation Retrieval link.
- If you want to quickly and easily get a report of your records for a particular fiscal year, click Data Recap.
- If you want to selectively retrieve records from the current and past fiscal years, click the link to a particular category of Annual Report records.
ACADEMIC ANNUAL EVALUATION RETRIEVAL
Click the link to retrieve your relevant DANRIS-X records in the Academic Annual Evaluation template for Sections A, B and C.
Follow the steps below to submit:

Select Word for the report format.
- Save the download as a Word document to your computer.

You can revise the information as wanted or needed.

Go to Program Review webpage (from your Portal) to upload.
Note: The DANRIS-X Annual Evaluation Retrievals are available in the application and on the Program Review webpage. Using DANRIS-X is optional.
DATA RECAP
To retrieve and view your Annual Report records that reflect your work for a particular fiscal year, click Data Recap. You will then see in a new window of your Web browser, the Data Recap - Selection screen.
Here you indicate which fiscal year and whether you want to retrieve all your Annual Report records or only a certain category or categories of records, such as "University/Public Service" or "Extension/Research/Creative Activities." By default, all the categories in the list will be checked for retrieval. If you do not want to retrieve all these, click to un-check categories until only those you want are checked.
Here you also specify the type of file in which you want your records output for viewing: Web Page, Word, or Excel.
You can also select either column or row format. (Note: if your data is cut-off when you print in Word with column format, select the row format to see all data printed. Also, the row format can make reviewing narratives easier.)
When you have made all your selections, click Get Data.
You will then see, in a new window, the display of all the Annual Report records that you created during the fiscal year for the category(ies) you selected.
Your records will be displayed in the following order: If you selected University/Public Service and/or Professional Competence, you will see records for these categories first; next you will see records for Activities, Outcomes, Publications, Grant Support, Multi-state Activity and Narratives, with the records within each of these categories grouped by Project/Program. Within each Project/Program, records will be sorted by date of the event, with the most recent first.
When you are done viewing your records, you may save your retrieval output to your computer in the file format you selected (Web page, Word document, or Excel file). Please note: if you choose the Excel format, carat characters (<) will be displayed in place of any forced line breaks and/or bulleted/numbered lists that you have entered into any of the fields that allow formatting.
You can then return to your DANRIS-X session, which remains open in its original window, by closing the retrieval output window and the data recap selection screen window.
ADDITIONAL RETRIEVALS OF RECORDS
To selectively retrieve Annual Report records from the current and past fiscal years, click the link to a particular category of records. Clicking a link will display a screen with different ways to search, filter, and aggregate your records.
You can choose various date range options, selection criteria, and sort orders. Please note that at the lowest sorting level, the retrieval records will be sorted by reverse chronological order, according to date of occurrence.
In addition, you can indicate the type of file in which you want your records output: Web Page, PDF, Word, or Excel.
When you have made all your selections, click Generate Report. You will then see, in a new window, the display of all the Annual Report records you have entered that meet your selected retrieval criteria.
When you are done viewing your records, you may save and/or print your retrieval report to your computer in the file format you selected (Web page, PDF file, Word document, or Excel file). Please note: if you choose the Excel format, carat characters (<) will be displayed in place of any forced line breaks and/or bulleted/numbered lists that you have entered into any of the fields that allow formatting.
When you close the retrieval output window, you will see that retrieval's selection page. You can then make different selections and run other retrievals on that particular category of records.
Or, if you want to retrieve records from other categories, click on the Retrievals tab to go to the retrievals' main menu.
Or you can click on any other link in the menu bar at the left of the screen to continue in your DANRIS-X session.
