County-Based Training Procedures

This checklist represents the minimum steps a county must take for the training to be considered completed. For a more comprehensive description, please download the County-Based Training Guide for New and Returning Volunteers.

  1. Use the official New and Returning Volunteer Course Attendance Sheet to account for actual attendance at the training.
    • If an individual comes into the office to complete their required course, you must still use the attendance sheet and they must complete a paper/electronic copy of the quiz to keep on file UNLESS a personalized eXtension account for the individual is created where they can complete the course in their own name.
  2. Run each required lesson in its entirety from the county eXtension account.
  3. Collect completed quizzes from each participant in one of the following ways:
    • Printed paper copy submitted after training (for virtual events this can either be photographed or scanned and then sent to the facilitator by email or U.S. mail).
    • Completed the fillable pdf. version of the quiz and email to the facilitator.
    • Complete the online quiz version of the quiz (new for 2021).

  4. Update each participants 4-H Online profile with the completion dates of the lessons ONLY AFTER COMPLETED QUIZ has RECEIVED and the attendance sheet has been updated and submitted to idevelopsupport@ucanr.edu).
  5. Complete the Training Attendance Sheet and retain with attendance records per retention policies (see Record of 4-H Adult Volunteer Orientation). Also, submit a copy of just the completed attendance sheet to idevelopsupport@ucanr.edu.  (Note: This should be sent at the same time the 4hOnline profile is updated. For virtual trainings, you can submit more than one training sheet to account for individuals who are sending in their quizzes via U.S. mail.)  
  6. Complete and send a Certificate of Completion to each training participant who completed the county-based requirements.
