FAQs

Is there any cost to me or my unit for participating? 

This is a fully funded event from ANR's central funds:

  • There are no registration fees for ANR academics and staff (including county paid staff) and closely affiliated personnel to participate. 
  • Travel to and from the conference and lodging expenses will be reimbursed.  
  • Participants will be required to estimate travel expenses when they register. They will then receive approval to charge central funds for appropriate travel costs.

What if I want to change my selections for concurrent sessions, tours or other details on my registration? 

  • You may make changes by using the re-edit link sent to you in your email confirmation until April 6, 2023. 
  • Please make changes ASAP because events will fill up, and we want to make room for others on waiting lists. 

Cancellation: What if I have to cancel my registration? 

  • Please cancel before April 6, 2023. If you cancel after this date, your UC account/unit may be charged $500 to help defray costs for your participation that we are unable to cancel (e.g. guaranteed food and beverage expenses).  
  • If you do not notify us of your cancellation and do not show up, your UC Account or unit will be charged $500. 

Is there a dress code? 

  • Recommended dress code is business casual or business smart. 
  • Presenters (posters and concurrent sessions): Please dress appropriately with button-down shirts, close-toed shoes, etc. Please do not wear t-shirts, shorts, sandals.
  • Tour Participants: Close-toed shoes are required. Registrants will be emailed more information closer to the event.   

Is it okay to bring family or friends with me to the conference?

If you would like to bring family members or others with you to Fresno, you may do so; however, please review the following guidelines: 

  • The UC ANR Statewide Conference is an event meant to bring UC ANR employees and affiliates together to network, learn and share. Please remember that your availability for family or others will be very limited during the conference.
  • All planned events and meals including dinners, baseball game, breakfasts and lunches are for conference registrants onlyPlease do not bring family members to any of the meal functions or events.  
  • If the most cost effective way to get to the conference is to fly and you choose to drive in order to bring family members or others with you, UC will only reimburse you for the estimated cost of the least expensive mode of travel, in this case the airfare. 

I am a lactating mother, so is it okay to bring my infant with me?  

  • If you are a lactating mother and need to bring an infant with you to the conference, please review UC ANR's Guidelines for Infants at UC Events.
  • A lactation room will be available throughout the conference. At the conference, please see Program Support Unit staff at the event registration desk. 

Lodging: Will someone handle my lodging reservation for me?

  • All participants are responsible for managing their own lodging reservations. If you do not have a UC issued Travel and Entertainment credit card, you may use personal funds and submit for reimbursement after the conference. If you need assistance with payment, please discuss it with your office manager or financial contact. If you need assistance, please email UC ANR Program Support Unit.
  • Room blocks are being held for conference attendees. These are available on a first come-first-served basis. 

I am an hourly employee (not exempt) and have questions about how to record my time. 

  • Please discuss your participation with your supervisor or director. We've provided UC policy and some helpful hints here. 

Do I get paid to attend the evening poster sessions or the baseball game? 

  • Meal time is not typically paid for; however, there may be circumstances when hourly employees would be paid for their time. Please discuss it with your supervisor. Participants may pick up their dinner and eat in their room or elsewhere in the hotel if they do not want to participate in the Monday or Tuesday receptions - although we encourage everyone to fully participate!

Do I get paid for my travel time to and from the conference?  

Same Day Travel
Regular Work Hours
  • Assigned travel during an employee’s regular working hours on work days is counted as time worked.
  • Traveling from work site to work site during the workday counts as time worked.
  • Travel time during scheduled days off is counted as time worked.
  • Travel time between home and the work place is not time worked, unless the alternate work site is outside the normal commuting area of the employee’s home location.
Overtime
  • Time spent traveling from job site to job site outside of regular work hours is considered overtime.
  • Travel from job site to home is not counted as overtime or time worked.
  • Time spent traveling by plane outside of the commute area is considered time worked.
  • Hours worked outside of the regular work hours (including travel) must be approved in advance.
Overnight Travel
Regular Work Hours
  • Travel that keeps an employee away from home overnight counts as hours worked when it cuts across the employee's workday, both on regular working days and during those corresponding hours on nonworking days (weekends).
    • Time spent on an airplane or as a passenger in a vehicle does not count as time worked if it is outside of regular work hours.
  • The time spent traveling from home to the airport and the airport to home shall not be time worked.
Overtime
  • Travel that keeps an employee away from home overnight and that occurs outside the employee’s normal working hours is not considered as hours of work.
  • If an employee is a passenger while traveling outside of regular work hours but is working during those hours; this is considered time worked/overtime.
  • Hours worked outside of the regular work hours must be approved in advance.
