Overview

Fellowship, internship, and volunteer programs play vital roles in the UC Agriculture and Natural Resources (UC ANR) community, offering unique opportunities for individuals to engage with and contribute to various programs and initiatives. Fellowships provide short-term, focused experiences for professional development, while internships offer hands-on learning opportunities for students at different educational levels. Volunteers play crucial roles in supporting UC ANR's mission through their unpaid service. Each of these programs has specific requirements and benefits, contributing to the diverse and dynamic environment of UC ANR.

Agreement Setup Steps

 

Scenario 1

If the apprentice, fellow, or intern is affiliated with a higher education institution

Higher education apprentice, fellow, and intern programs are typically designed to provide students with practical experience and professional development opportunities while fulfilling course or degree requirements.

  1. Formalize an Agreement: Start with PCPA to setup a Memorandum of Understanding (MOU). Click here to download a copy of the Internship Agreement Template. - contact newagreement@ucanr.edu
  2. Liability Waiver: Complete the corresponding Liability Waiver with Risk Services - contact risk@ucanr.edu
  3. Background Check: Typically, the institution will conduct the background check. If the institution does not perform this check, please coordinate with Risk Services to complete a Criminal Records Clearance - contact risk@ucanr.edu

 

Scenario 2

If the apprentice, fellow, or intern is affiliated with a non-profit or government organization

Non-profit and government-sponsored apprenticeship, fellowship, and internship programs typically offer individuals the chance to gain professional experience while engaging in public service. (ie. GrizzlyCorps, Pride Industries, AmeriCoprs, Conservation Corps, Firefighting, etc.)

  1. Formalize an Agreement: Start with PCPA to setup a Memorandum of Understanding (MOU) - contact newagreement@ucanr.edu
  2. Liability Waiver: Complete the corresponding Liability Waiver with Risk Services - contact risk@ucanr.edu
  3. Background Check: Typically, the organization will conduct the background check. If the organization does not perform this check, please coordinate with Risk Services to complete a Criminal Records Clearance - contact risk@ucanr.edu

 

Scenario 3

If the apprentice, fellow, or intern is no outside affiliation

  1. Determine Classification: Start with Staff HR to determine classification - contact humanresources@ucanr.edu
  2. Formalize an Agreement: Work with Staff HR to complete the "Fellowship Agreement Form" - contact humanresources@ucanr.edu
  3. Liability Waiver: Complete the corresponding Liability Waiver with Risk Services - contact risk@ucanr.edu
  4. Background Check: Work with Risk Services to perform a Criminal Records Clearance - contact risk@ucanr.edu

 

Volunteer Agreements

An Adult ANR Volunteer is an individual aged 18 or older who provides unpaid services or conducts activities supporting a UC ANR program. An appointed UC ANR Volunteer undergoes a formal recruitment, orientation, screening, training, and certification process as part of an organized ANR Volunteer Program. This process is crucial as appointed volunteers essentially act as agents of UC ANR and must undergo a criminal records check. This formal process also ensures that appointed volunteers are covered by supplemental insurance, protecting them from personal liability in case of negligent actions.

Each of the 4-H, UC Master Gardener, and UC Master Food Preserver programs has an established volunteer screening and recruitment process. Refer to the program websites for the latest information on volunteer opportunities and requirements.

Minors can be appointed as a volunteer only on an exceptional basis. Those supervising a volunteer who is a minor must have extra training, become a Mandated Reporter, and complete a criminal records check.

Execution/Signature Authority

MOUs need to be signed by the proper authorities from all parties. The proper authority for UC ANR is from the Delegation of Authority 1058, which has been re-delegated to the Associate Vice President, Associate Vice President Business Operations, the Controller and in some instances a designee.

Typically, PCPA arranges for execution for both parties. We prefer to use electronic signatures (eSignatures) through DocuSign. To help expedite your agreement:

  1. Discuss eSignature option when beginning collaborations
  2. Provide name and title of signature authority for other party & direct email with draft agreement
