We recommend the following general template for email signatures so that UC ANR presents as a unified organization to external contacts.

We also recommend using your email signature to highlight events, projects, or educational content. It is an unobtrusive way to promote your work to your audiences — for example: "Learn about our events at (URL)" or "Follow our blog at (URL)."

Accessible Email Signatures

Ensure your email signature is accessible to all recipients. Follow these steps in Microsoft Outlook:

  • Access settings: Classic Outlook: File > Options > Mail > Signatures. New Outlook: Settings > Account > Signatures > Edit.
  • Text formatting: Use accessible, standard fonts such as Calibri at a minimum size of 12 point.
  • Images and alt text: Insert images, then right-click, select Picture, and choose Alt Text to describe the image for screen readers.
  • Hyperlinks: Use descriptive link text — not "click here."
  • Color contrast: Ensure high contrast between text and background.
  • Alternative approach: For complex signatures, design in Word first, then copy and paste into the Outlook signature editor.
  • Run a check: Use Review > Check Accessibility to flag potential issues.
