Zoom has built-in accessibility tools to improve the experience for all attendees. Closed captioning must be set up by both the host and the attendee who wants to use it.
Set Up for Host
Sign in at ucanr.zoom.us, then in the left navigation under Personal, click Settings. Scroll down to find Manual Captions and Auto Captions.

There are several options to choose from: Manual Captions, Automated Captions, Full Transcript, and Save Captions.
Manual Captions
Manual Captions allow the host or a designated participant to type captions during the meeting. There are two options within Manual Captions:
- Allow host to type or assign a participant to type
- Allow use of caption API token to integrate with third-party closed captioning services
Automated Captions
Automated Captions allow users to enable captions automatically in meetings. It is recommended to enable both Manual and Automated Captions, as hosts using older Zoom software may not be able to turn on Automated Captions.
In the Zoom App

Click Live Transcript to see the host options:
- Assign a Participant to Type or I Will Type — manually assign captioning to yourself or another participant
- Use a 3rd Party CC Service — click the button to copy the API token
- Live Transcript — enable auto-transcription; this setting automatically saves a transcript locally
Set Up for Attendee
Once the host has enabled closed captions, attendees must enable them for themselves in the Zoom app. Click CC - Live Transcript to access the following options:
- Subtitles — displays captions at the bottom of the screen. Attendees can hide subtitles at any time.
- Full Transcript — opens a new window displaying a time-stamped, labeled script created in real time.

End of Meeting: Transcript, Video, and Audio Files
If a host has enabled auto recording and closed captioning, a transcript, video, and audio file will be saved when the meeting ends. The default local save location is \Documents\zoom. Files saved to the cloud can be found by visiting your Zoom account recordings page.
